Observers are parents, guardians, teachers, counselors, principals, or tutors who are granted read rights to view student activity, course completion, and monitor student progress.
Students observed by staff users can be aligned to the existing staff accounts. Parents and caretakers need a unique Observer account, and then must be aligned to student(s).
There are two manual methods to align observers to students and one bulk import approach for multiple observers/students.
How do I create an observer?
To create an observer user account:
- Log in as a school admin and select the admin app.
- Select the Users menu on the left side of your screen.
- Select New.
- Complete the following fields:

- Select Save.
- After creation, make a note of the observer's User ID number from the User's menu. You may have to filter the list to view the user to see their User ID.
- Observers are like student accounts, they do not have any domain permissions. Simply create their user account, then add them as an observer to a student as described below.

How do I add a student to an Observer’s User Profile?
To add a student to an existing Observer:
- Select Users from the Main Menu.
- Select the appropriate observer User ID.
- Select the Observed Users tab.
- Select Add.
- Enter the student’s username or ID.
- Select Save.
How to add one or more observers to multiple students via import CSV.
Observers are attached to a student by creating a CSV file, then using the Import Observer tool. You can create this file with users from multiple domains in the district since all IDs are unique within the system. When assigned, the observer will see all active enrollments for the student. This file can contain multiple users and students, to associate all within a domain with one import.

Note: District admins can create one file for all users within multiple schools, if needed, by adding a Domain ID column and putting the domain ID for each school in each row.
To import the CSV file:
- From the admin app, select the Domain menu.
- Select the More icon for additional menus, then select Import Observers.
- The Import observers window displays. You can paste the imported data or choose from a file.
- Select Next to review the imported data. Ensure there are no errors, then select Import. If there are errors, select back, then correct the errors and select Import.
- The rows imported confirmation displays in the top left. If accurate, select DONE.
- To confirm the changes applied, go to the Users menu, open an Observer's profile, then select the Observed Users tab. The student(s) being observed should be listed here.
How to add an observer to one or more enrollments.
To add an Observed Enrollment:
- Open the Users tool from the Main Menu.
- Select the student’s User ID.
- Write down the enrollment ID to be observed.
- Exit the student’s profile and select the Observer’s User ID from the Users menu.
- Select Observed Enrollments.
- Select the Add [plus sign] button in the toolbar.
- Provide the student’s Enrollment ID that you want the user to observe.
- Select Save.

- To disable an observed enrollment, check its box, then select Remove. Check multiple boxes to remove more than one at a time.
