This document supports your close of each semester. It outlines the settings and procedures necessary to ensure that Pearson and district teachers can end the semester with accuracy. These steps are essential so that our team and your district teachers can support students across domains. Your District Success Partner can support you with any questions you may have.
End of Semester Data
Please note: Before making changes, it is recommended that a copy of your student’s data has been saved.
❏ Generate and save the Student Activity Summary Report with semester start and end dates for students that have accessed a course.

Course End Dates
When a course expires, students have a grace period of 14 days to see their course on their home page. During this time, student work can no longer be submitted. This allows students and caretakers time to review graded work. After the grace period, students can no longer see courses on their home page.
Whether a course is the continuous or range type determines how long and in what capacity students will see the course on their home page. Students always see their enrollment end date when they are on the Activities page of the course.
- There are two end dates: course end date and the student's enrollment end date. Students can work until their student enrollment end date (even if the course end date is sooner).
For all courses taught by Pearson teachers:
❏ Course End Dates should be June 30 of the current school year.
❏ Students enrollment end dates should have an end date within the teaching services last day in June of the current school year. Check in the Customer Handbook (located in the Communication Hub course) for all Pearson Teaching Services important dates.
For all courses taught by district teachers:
❏ Courses can have a fall course end date if courses are to be used for the first semester only and a spring course end date if courses are to be used for the entire current school year.
❏ Students should have an enrollment end date within the operational dates of the current school year.
Student Course Enrollment Status
There are eight enrollment statuses available. Regardless of the enrollment status, student data is always saved in the platform and can be viewed by an administrator or teacher.
There are several options for updating a user's enrollment in a course, which is performed by changing the student's enrollment status. Here are the possible options for user enrollment:
- Active - The student is currently active in the course, or the end date has passed but teacher has not yet marked the student as complete.
- Withdrawn (No Score) - The student has withdrawn from the course without a score.
- Withdrawn (Failed) - The student has withdrawn from the course and was assigned a failing score.
- Transferred - The student has transferred to another course.
- Completed - The student has completed this course.
- Completed (No Credit) - The student has completed this course but did not receive credit.
- Suspended - The student has been suspended from this course. The student will be able to view the course materials but will not be able to take assessments or submit assignments.
- Inactive - The student is not actively involved in the course. The course will not display on the student's home page and the student will not have access to the course materials.
For all courses taught by Pearson teachers:
❏ Pearson teachers will mark students complete no later than five business days after the student end date.
❏ Customers should not mark students complete as the Pearson teachers will do this after they have had the opportunity to finalize grades.
For all courses taught by district teachers:
❏ Customers can change student status as needed.
NOTE: Student Course Enrollment Extensions - Change course enrollment end date to a date before end of academic year; be sure set course enrollment status to active if it has been changed.
Student Domain User Status
NOTE: Never delete a user who has taken a course.
Customers who wish to keep the “User” dashboard updated, can mark their inactive users as inactive to see only active users in this location on the platform.
Changing a user student/teacher/etc. to Inactive will no longer allow the student to login to the platform.
❏ Customers are not able to change the status of Pearson teachers.
❏ Customers may change the status of District teachers as needed.
