Teachers should submit final grades at the end of a session when all assignments have been turned in and grading has been completed. Teachers can resubmit final grades if a grade adjustment is needed.
Administrators or Teachers must mark students complete in a course for the following reasons:
-
Doing so removes the course from the student’s home page.
-
If the school is operating with a per-seat license model, keeping enrollment status as active for a completed course will show a used license.
-
Marking students complete in a course ensures future reports will show both accurate course completion statuses and numbers of students who completed a course.
-
Marking students complete ensures their transcripts accurately reflect whether they completed their courses.
To change the enrollment status in a course:
Teachers should update enrollment statuses at the end of a session or semester. This can be done manually, or it can be set for automatic completion.
To set an automatic enrollment completion:
-
Select the Editor tool from the desired course card on the Home page.
-
Select Tools from the Header menu and then select Course settings.
-
Scroll down to Enrollment completion section. Select the condition that marks student enrollments as Complete.
-
Select Save when finished.
Figure Course Settings > Enrollment Completion
One common use of completion in Prescriptive or Sequential courses is the last option with the Review Test category defined, which is the last activity that the student completes in these courses. Other course types are used when all items or all gradable items are complete.
To complete a group of students, Administrators can use batch import enrollments to update enrollment statuses to Completed with the Edit action for existing enrollment (Refer to Batch Import Enrollments).
Users can allow the platform to automatically set course enrollment completion. Go to Course Settings on the Syllabus tab. Change the Enrollment Completion to one of the automatic options (this is set to Manual by default).
Example of Automatic Option
In the following example, when a student completes the review test for the course, the system automatically changes the enrollment status for the student from his or her current status to Completed.
Enrollment will be marked complete when the review test is complete. Completion of a review test is considered a passing score.
Note: For a prescriptive or sequential course, it is correct to set the automatic completion for a course based on the review test because the review test is presented to the student after modules have been completed. For a Flex course, students can only take the review test before working on any of the modules and can receive a course completion only if they receive a passing score on the review test. Look at the pathway of the course to determine the correct automatic completion.
To submit a final grade and mark the course complete:
To finalize grades and mark courses complete:
- Review the Gradebook and confirm the course end date.
- Look for any unsubmitted assessments to identify where zeros will need to be added, then confirm all resubmissions have been graded.
- Select Tools from the Header menu and then select Go to final grades.
- Confirm the check marks only include the student(s) whose grades are being finalized. Select either zero all unscored activities or Excuse all unscored activities.
- Select Submit Selected.
- Select Mark Enrollments Complete. This officially finalizes the grades and closes the course.
Note: Once the Teacher selects Mark Enrollments Complete, the student is removed from the Teacher’s Gradebook view, and the course tile is removed from the student’s view.
Students can access the course by opening the Gradebook and selecting Show Past Courses to view assessments and course content for a completed course.
Teachers must switch to the Admin App, search for the student, then select Show Past Courses from the Performance tab to see the closed course.
